Welcome to TassandraInk. We believe that writing requires vulnerability, and vulnerability requires a safe, private space. We are committed to protecting your personal information and your right to privacy. This Privacy Policy explains what information we collect, how we use it, and what rights you have concerning it.

1. What Information Do We Collect?
We collect personal information that you voluntarily provide to us when you register on the website, subscribe to our newsletter, purchase a membership, contact us for support, or interact within our community spaces (like The Gathering Hall).
The personal information we collect may include the following:
- Account Information: Name, email address, and password when you create a member account. If you sign up using Google sign-in, Google shares the basic profile information (such as your name and email address) needed to create your account. Your account and membership records may also include your membership plan, status, and access or entitlement type (such as trial, paid, or complimentary access).
- Newsletter Data: Your email address and your gift preference (a free poem or a free story) when you join our mailing list.
- Payment Information: If you purchase a membership, your payment is processed securely through Base44 Payments. We do not store your full credit card numbers on our servers; payment data is handled by our payment provider in accordance with its security standards. We do not accept or process payments through PayPal.
- Contact & Support Information: When you submit a request through our Contact page, we collect the name, email address, category, subject, and message you provide. If you are logged in, we also associate the request with your account and a snapshot of your membership status at the time of submission. We also log the IP address of the device used to submit the request, which we use to prevent abuse and rate-limit repeated submissions.
- User-Generated Content: Any poems, stories, comments, guestbook entries, or messages you choose to post in The Gathering Hall, Kindred Voices, the Community Scrolls, or The Guestbook.
- Writing Studio Data: When you use our AI-assisted Writing Studio tools, the inputs you submit (such as a topic, tone, form, or draft text) are processed to generate writing assistance. We also store limited usage counts and any Saved Projects you choose to save, associated with your account. See Section 5 for full details.
- Sanctuary Journey Progress: Records of your onboarding milestone progress — such as whether you have explored the Library, the Writer's Corner, or other areas — associated with your account.
- Game Room Activity: Your game scores, attempts, badges, leaderboard standings, and match history in the literary Game Room.
- Member Presence: When you are active in multiplayer features, your display name and online or away status may be visible to other members.
- Duel Chat: Messages you send in literary duel chat, which are visible to your opponent and may be reviewed by moderators if reported.
- Automatically Collected Data: Like most websites, we automatically collect basic information such as your IP address, browser type, and device characteristics, along with the essential authentication and session technologies described in the Cookies section, to keep our website running smoothly and securely.
2. How Do We Use Your Information?
We use the information we collect for the following business purposes:
- To deliver your gifts: To send you the automated welcome emails and the free poetry or stories you requested.
- To manage your membership: To create and manage your account, process your 5-Day Free Trial, and manage your ongoing subscription.
- To facilitate the community: To allow you to post, comment, and connect with other kindred spirits in our member-only forums.
- To provide Writing Studio tools: To process your AI-assisted writing requests, enforce Studio usage allowances, and store the Saved Projects you choose to keep.
- To communicate with you: To send you updates about The Library, new Sanctuary Sheets, policy changes, or marketing emails (which you can opt out of at any time).
- To provide support: To respond to your contact and support requests and maintain a record of those conversations.
- To protect the sanctuary: To moderate content, prevent spam, fraud, and abuse, investigate violations of our Community Guidelines, and keep the community safe.
3. Will Your Information Be Shared with Anyone?
We will never sell your personal data to data brokers or third-party advertisers.
We only share information with third-party service providers that perform services for us or on our behalf. These include:
- Website Hosting, Platform & Payments: Base44, which hosts our sanctuary, delivers our email, powers our membership checkout and subscription billing, and provides the AI-processing infrastructure used by the Writing Studio. Membership payments are processed through Base44 Payments (powered by Wix). We do not store your full card details on our servers.
- Sign-In Provider: Google, when you choose to sign in with Google. Google shares only the basic profile information needed to create and sign you into your account.
We do not use third-party advertising trackers. We do not sell or share your information for cross-context behavioral advertising.
4. Privacy in The Gathering Hall
Please be aware that any information, stories, or poetry you voluntarily share in our public or member-only spaces (such as The Gathering Hall, Kindred Voices, the Community Scrolls, or The Guestbook) can be read, collected, and used by other members of those spaces. We encourage you to be mindful of your privacy when sharing personal details in the forums.
Submissions to The Guestbook and the Community Scrolls are reviewed by our team before they appear publicly. Until approved, your pending submission is visible only to you and to our moderators.
5. Writing Studio, AI-Assisted Tools & Saved Projects
AI-Assisted Processing
When you intentionally use an AI-assisted Writing Studio feature, the information you submit to that feature (such as a topic, tone, form, or draft text) is processed to generate the requested writing assistance. This AI functionality is provided through the platform's AI-processing infrastructure and service providers. Your Writing Studio inputs are sent to that infrastructure for processing. AI processing is different from intentionally saving a project — generating assistance does not by itself create a stored Saved Project.
Usage Records
To enforce Writing Studio allowances, we store limited usage information — such as generation counts and the relevant usage periods or timestamps — associated with your account. These usage records are not intended to contain the full content of your writing.
Saved Projects
When you intentionally save a Writing Studio project, we store that Saved Project associated with your account. Saved Projects are private, account-associated content. Normal application access to your Saved Projects is restricted to you as the owner according to the platform's access controls. Authorized service-level system operations may process these records as needed for platform operation, but Saved Project contents are not displayed to other members and are not fed into our administrative analytics.
Cancellation vs. Account Deletion
Canceling your membership subscription is not the same as deleting your account. If you cancel a paid subscription, your Saved Projects may remain stored while your account exists and may become inaccessible when membership access ends. If you later resubscribe and the same account still exists, your Saved Projects may become accessible again. If you permanently delete your account, your Saved Projects and Writing Studio usage records are deleted as part of private account-data removal (see the Account Deletion section below).
6. Your Privacy Rights & Choices
You have full control over your experience in the sanctuary. The actions below are separate from one another:
- Cancel Membership: Canceling stops future renewals while preserving your already-paid access through the end of your current paid billing period. You can cancel from your Manage Membership page at any time. Cancellation does not delete your account or your Saved Projects.
- Newsletter Unsubscribe: You can unsubscribe from our newsletter and marketing emails at any time by clicking the “unsubscribe” link in any newsletter email. Unsubscribing withdraws your newsletter consent; we may keep a record of your email address as a suppression marker so we do not send to you again. Unsubscribing does not affect your membership or account. (Note: You will still receive essential account-related emails, such as billing receipts, trial onboarding, or password resets, which are not marketing emails.)
- Delete Account: You can permanently delete your account from your Account Settings at any time. Account deletion is separate from canceling your membership and from unsubscribing from the newsletter. It is described in full in the next section.
7. Account Deletion
You can permanently delete your account at any time from your Account Settings. Account deletion is a distinct action from Cancel Membership (which only stops renewal) and from Newsletter Unsubscribe (which only stops marketing emails).
When deletion takes effect
If you have no active paid subscription, your account is deleted promptly. If you have an active paid membership, we cancel future renewals and your account and identity are deleted once your subscription reaches the end of its current paid period — you keep the access you have already paid for until then. A scheduled process finalizes the deletion after that period ends.
Verifying it is you
To protect your account, we verify your identity before deletion. If you signed up with an email and password, you are asked to re-enter your password. If you signed up using Google or another sign-in provider, we use your current authenticated session together with a typed confirmation (“DELETE”) instead, because our platform does not provide an equivalent way to re-verify those credentials inline. The Google/sign-in-provider step is not a full credential reauthentication.
What is deleted
We remove your private data, including your member profile, saved readings (bookmarks), private draft notebooks, Writing Studio Saved Projects, Writing Studio usage records, and game-room records (scores, attempts, badges, and presence).
What is anonymized and kept
Public community content you contributed is not removed by default. Instead, your name is replaced with a neutral placeholder (such as “A Kindred Voice”) and the content remains so the community conversation stays intact. This includes your Gathering Hall threads and replies, your approved Guestbook entries, and the display names shown on your past literary duels.
Community Scrolls and Guestbook submissions
For the Community Scrolls, any pending or declined submission is deleted. Approved Scrolls are anonymized by default and kept on display; when you request deletion, you may instead choose to have your approved Scrolls fully removed. For The Guestbook, approved entries are anonymized and kept, while pending or declined entries are deleted.
Newsletter records
If you are subscribed to our newsletter, your newsletter consent is withdrawn. We may keep a suppression record of your email address so we do not send newsletter emails to you again.
Records we may keep
Certain records may be retained after deletion for legitimate operational, legal, tax, accounting, fraud-prevention, dispute-resolution, security, and compliance purposes. These may include payment and transaction records, your membership account history, subscription consent records, policy acceptance records, contact and support records, and moderation and security records. We do not claim a fixed deletion period for these records; they are kept only as long as needed for the purposes described in the Data Retention section.
A note about your avatar
Deleting your account removes the reference to your profile picture, but the platform that hosts our files does not currently provide a way for us to physically delete the underlying uploaded image from storage. We therefore cannot guarantee that an uploaded avatar file is erased from our hosting provider’s storage when your account is deleted.
8. Data Retention
We keep your personal information only as long as we need it for the purposes described in this policy. We do not apply a single fixed retention period to everything. Instead, how long we keep a record depends on the reason we need it:
- Account & membership data: Kept while your account is active and for as long as needed to manage your membership, trial, and billing afterward.
- Payment & transaction records: Retained to the extent necessary for tax, accounting, dispute-resolution, and legal-compliance purposes.
- Consent & policy acceptance records: Retained to establish what terms and policies you agreed to, for as long as that record may be needed.
- Contact & support records: Kept for as long as needed to resolve and document your request.
- Moderation & security records: Kept for as long as needed to enforce our Community Guidelines, protect the community, and prevent repeat violations.
- Internal analytics: We use primarily aggregate, operational information to understand how the sanctuary is growing and how members are engaging with the platform. Writing Studio Saved Project contents are not fed into these administrative analytics.
- Newsletter suppression: A record of your unsubscribed email address may be kept indefinitely as a suppression marker so we do not send to you again.
When we no longer need a record for any of these purposes, we remove it or de-identify it. We do not state a specific number of months or years because no fixed retention schedule applies; retention is tied to the legitimate purposes above and any legal requirements that may apply.
9. Cookies and Similar Technologies
We use only the essential technologies needed to run the sanctuary:
- Authentication & session technologies: These keep you signed in and remember your session as you move between pages. They are necessary for the site to function and are set by our platform.
- Sign-in provider technologies: When you use Google sign-in, Google may set its own essential cookies as part of that process.
We do not use third-party advertising trackers or cross-context advertising cookies. We do not sell or share your data for targeted advertising. Because we use only essential technologies, we do not display a cookie-consent banner; if we ever introduce non-essential cookies, we will update this section and provide a choice where required.
10. Your Privacy Rights
Depending on the law that applies to you where you live, you may have certain rights regarding your personal information. These may include the right to access, correct, or delete your personal information; to receive a copy of it (portability); to object to or restrict certain processing; and to withdraw consent. Not all of these rights apply in every country or situation, and some rights may be limited where we have a legitimate reason to keep a record (for example, to comply with a legal obligation or to enforce our Community Guidelines).
You can exercise many of these rights directly from your account settings — for example, updating your profile, unsubscribing from the newsletter, or deleting your account. For any other request, please reach out through our Contact Page and we will respond in line with the law that applies to you.
11. Children's Privacy
TassandraInk is not directed to children under 13, and we do not knowingly collect personal information from children under 13. Users must be at least 13 years old to create or use an account. Users under the age of legal majority in their jurisdiction must have parent or legal-guardian permission where required. If you believe a child under 13 has provided us with personal information, please contact us and we will take steps to remove it.
12. International Data Transfers
Our platform and service providers (including Base44, Wix, and Google) may process or store information in countries other than your own. The privacy protections that apply in those countries may differ from those in your country. By using TassandraInk, you acknowledge that your information may be transferred to and processed in such countries for the purposes described in this policy.
13. Updates to This Policy
We may update this privacy notice from time to time as we add new rooms or features to the sanctuary. The updated version will be indicated by an updated “Last Updated” date at the top of this page. When we make significant changes, we may ask you to acknowledge the updated version the next time you sign in.
